REFUND & CANCELLATION POLICY \u2014 TVPALM<\/strong><\/h1>\n

This policy explains when and how much you can be refunded if you cancel a TVPalm tour or an Ecolodge stay. It applies together with our Payment Policy, which contains the full payment terms.<\/p>\n

TVPalm works directly with local Dao families, guides, porters, and community partners. Many costs \u2014 food, permits, porter days, homestay nights \u2014 are committed weeks before you arrive and cannot be recovered. Our refund rates reflect that reality rather than a standard tourism formula.<\/p>\n

1. Deposit<\/strong><\/h2>\n

A booking is confirmed only after TVPalm receives the required deposit and sends written confirmation.<\/p>\n

The deposit is non-refundable. It covers commitments made early with local guides, porters, and homestays. It is transferable to another TVPalm booking within 6 months, provided written cancellation reaches us at least 15 days before the original departure date.<\/p>\n

  • Dao Village Trekking, Ha Giang \u2013 Cao Bang Loop: 30%, due within 72 hours.<\/li>\n
  • Day and Half-Day Walks: 15\u201320%, due within 72 hours.<\/li>\n
  • TVPalm Ecolodge stay: 30% or the first night.<\/li>\n<\/ul>\n

    For bookings made within 30 days of departure, the deposit is due immediately.<\/em><\/p>\n

    Refund percentages below apply to the total tour price. Notice is measured from the date TVPalm receives your written request at info@tvpalm.com.<\/p>\n\n\n\n\n\n\n\n\n

    3. Stay Cancellation \u2014 TVPalm Ecolodge<\/strong><\/h2>\n\n\n\n\n\n\n\n\n

    4. Non-refundable Cases<\/strong><\/h2>\n

    No refund is given in the following situations:<\/p>\n

      \n
    • You leave the tour voluntarily, or do not arrive at the meeting point at the agreed time.<\/li>\n
    • You do not provide valid proof of personal travel insurance by the deadline for your tour. See section 5.<\/li>\n
    • You do not meet the health, fitness, or age requirements for the tour and did not tell us in advance.<\/li>\n
    • A child under 14 is booked onto a trekking tour. We do not accept children under 14 on any trekking tour \u2014 this is a safety rule, not a commercial one, and it applies without exception.<\/li>\n
    • Services already used or partly used during the journey.<\/li>\n<\/ul>\n

      5. Insurance \u2014 Required for All Tours<\/strong><\/h2>\n

      Personal travel insurance covering the activities of your tour is required for every TVPalm tour. This is a condition of participation, not a recommendation.<\/p>\n\n\n\n\n\n\n\n\n

      Every guest is also covered by basic PVI Inbound Insurance included in the tour price. This is accident cover only. It does not cover trekking at altitude, motorbike riding, or emergency medical evacuation. It is a safety net, not a substitute for personal insurance.<\/p>\n

      If valid proof is not received by the deadline, you cannot join the tour, and the standard cancellation terms in section 2 apply. We would rather tell you this clearly at booking than turn you away at the trailhead.<\/strong><\/p>\n

      6. Force Majeure<\/strong><\/h2>\n

      For severe weather, natural disasters, landslides, government restrictions, road closures, or other events beyond TVPalm’s control:<\/p>\n

      • If the trip cannot start: full deposit refunded, or transferred to new dates.<\/li>\n
      • If the trip is interrupted mid-way: the itinerary is adjusted where possible, and a partial refund is assessed case by case.<\/li>\n<\/ul>\n

        We do not lower a route’s difficulty grade or push a departure through unsafe conditions in order to avoid a refund. Safety comes before revenue. We will contact you as early as we know, and work with you to find a fair solution.<\/p>\n

        7. Date Changes Instead of Cancelling<\/strong><\/h2>\n

        We would rather move your dates than lose your trip. Date changes must be requested in writing to info@tvpalm.com and are subject to availability.<\/p>\n

        • Summit Trekking: free 30 or more days before departure. A 30% adjustment fee applies 15\u201329 days before. Within 15 days, written approval only.<\/li>\n
        • Dao Village and Loop tours: free 15 or more days before departure. A 20% adjustment fee applies 7\u201314 days before. Within 7 days, written approval only.<\/li>\n
        • Day and Half-Day Walks: free more than 3 days before departure. Within 3 days, written approval only.<\/li>\n<\/ul>\n

          One free postponement applies within a 6-month window. Returning guests, and international travellers who can show a changed flight, may receive additional flexibility. Peak-season dates have limited availability.<\/em><\/p>\n

          8. How to Request a Refund<\/strong><\/h2>\n
            \n
          1. Send your request in writing to info@tvpalm.com, or by WhatsApp to +84 366 885 955. Written requests set the notice date.<\/strong><\/li>\n
          2. Include your booking confirmation or order code, your name and phone number, and the reason for cancelling.<\/strong><\/li>\n
          3. We respond within 1 to 3 working days. If any cost is non-recoverable, we tell you exactly what it is and why.<\/strong><\/li>\n
          4. Once the amount is agreed, we process the refund to your original payment method.<\/strong><\/li>\n<\/ol>\n

            9. Refund Processing<\/strong><\/h2>\n
              \n
            • Refunds are processed within 15 to 30 business days to the original payment method.<\/li>\n
            • Where possible, refunds are returned through the same channel used for payment \u2014 bank transfer, Wise, Revolut, PayPal, or card.<\/li>\n
            • Bank transfer fees, where they apply, are deducted from the refund amount.<\/li>\n
            • PayPal does not return the original processing fee. That fee is deducted from the refund amount. This is why we recommend Wise or Revolut for international payments.<\/li>\n<\/ul>\n

              10. Policy Updates<\/strong><\/h2>\n

              TVPalm may update this policy to match legal requirements and operating conditions on the ground. Changes are published on this page with the date of the update. The terms that apply to your booking are the terms in force on the date your booking was confirmed.<\/p>\n
